8. Cancelling an Event

You can cancel an Event if it is no longer required, was created in error, or for other reasons. 

Before you begin 

Role required:  x_usdml_unifyevent.user or x_usdml_unifyevent.coordinator 

About this activity 

When an Event is in the Triage or Planning state, it can be cancelled using the Cancel Event button. Once it is In Progress, it can be cancelled using the Request Event Cancellation button.  The button is only visible to the Assigned to user, or a ProcessX coordinator (after elevating roles). 

Note: The Cancel Event option will not be available when an Event is in the Planning or In Progress state if the Restrict Cancel Status property (under the corresponding Event Type > Plan settings) is configured to restrict cancellation for those states.

When an Event is cancelled, all Tasks and Action Items in the In Queue, Open, or In Progress state are skipped.  Tasks that are Closed-Complete remain in that state. 

Procedure 

  1. Open the Event to be cancelled. 
  2. Click the Cancel Event button or Request Event Cancellation button, depending on the current state of the Event. 
  3. Select a Cancellation Reason and enter the Cancellation Details. 
  4. Click Submit. 

For Events that had been in the Triage or Planning states, the Event state will immediately change to Cancelled.   

For Events that were In Progress, a Cancellation Request Approval task is added to the Event. A user belonging to the Default QA Group for the associated Event Plan can approve or reject the Cancellation Request. If a Default QA Group for the Event Plan is not selected, the Cancellation Approval Request will be assigned to the Default QA Group defined in [[ProcessX General Settings]].  Once the Cancellation Request is approved, the Event state will change to Cancelled.
