4. Event States

Each Event has a State field that indicates whether the Event is in Triage, Planning, In Progress, Closed, or Cancelled.  

  • Triage A newly created Event. The Event will be in Triage after you click Submit or Save. 
  • Planning – The State changes to Planning after the user clicks Review Event Plan. All Plan Steps must be assigned to a group or user before work can be started. 
  • In Progress – An ongoing Event with at least one Task that is open or in progress. 
  • Closed – An Event is closed when all Tasks, including Closure Task and Action Items, are completed or skipped. The Event Assigned to user or a ProcessX coordinator can close the Event any time during the In Progress state.  
  • Cancelled – An Event that has been cancelled prior to completion of Event Plan tasks. The Event Assigned to user or ProcessX Coordinator can cancel the Event during the Triage or Planning states; for In Progress Events, the Event Assigned to user or a ProcessX coordinator can click Request Event Cancellation to cancel the Event. 

Note: All Tasks that are Open or In Queue will be skipped when an Event is cancelled, whereas Closed-Complete Tasks stay completed when an Event is cancelled. Tasks will be explained further in the Task section. 

Note: Cancelled/Cancelled By is displayed as Closed/Closed By in Notes and Activities due to OOB ServiceNow function to record date/user when a record moves from Active to Inactive.
